  • Training Documents - Please click here for Student Training and click here for Supervisor Training

  • Employment Eligibility - Students must be registered for at least 6 credits or more for the respective semesters in order to be employed under student employment.  They must also have their SSN on file with Registrars and Student Financial Services.

  • Summer II 2023 - You can now begin hiring for Fiscal Year 2023-2024. The outstanding timesheets and graduate assistantships from the fiscal year 2022-2023 that still need to be submitted and approved will have to be paid from the new 2023-2024 fiscal year budget.  **As a reminder: If you hire a student for an hourly position on 7/1/23, DO NOT rehire them again at the start of the Fall, Spring, or Summer I semester.  However, Graduate Assistantships being paid a stipend MUST be rehired each semester.**

  • Hours Per Week - All students (Undergrad, Graduate, SWF, FWS, SSP, GAs) can work up to 20 hours per week during the fall and spring semesters.  Students can not work more than 20 hours per week. During winter break, spring break, and summer - students may work up to 35 hours per week.

  • FWS Award - If you have a Federal Work Student Award (FWS), you will receive a warning when your award is running low.  At this time please contact Student Financial Services (SFS) to see if you are eligible for an FWS award increase.  If you are eligible for an increase you will be able to continue on with FWS.  If you are not eligible for an increase, you can continue to fill out your timesheet.  When your FWS award is completely exhausted and you are unable to complete your timesheet, please contact your supervisor.  Supervisors will have to contact Payroll to request a switch to SWF.

  • Graduate Assistantships - GAs must be rehired each semester.  As of January 1st, 2024, the rate of pay for GA stipends has increased to $19.00 per hour. Supervisors, please be sure to follow the steps to hire GAs and other stipend-based positions in the Supervisors Stipend User Guide. It can be found in the Employers and Supervisors information section. GAs (Graduate Assistants) are considered graduate students being paid a stipend.  GAs are not graduate students working in hourly positions.  Graduate and undergraduate students can be hired into hourly positions.  Only graduate students can be hired as GAs.

  • Student Paychecks - The payroll dates provided on the payroll schedule are the dates checks are issued. ALL checks will be mailed 1 day prior to the pay date. We encourage you to sign up for direct deposit to avoid lost or stale-dated checks.
  • NYC Minimum Wage  As of January 1st, 2024, the rate of pay has increased to $16.00 per hour.  Please check back on the student employment website for any additional updates.
  • Supervisors, please review JobX and TimesheetX Quick Tips under "On Campus Employers". This document will give you an overall view of how to navigate through the student employment website with ease. 
    • There will not be increases for students during the academic school year.  
    • DO NOT hire students into duplicate jobs and please update end dates for continuing hires if students need to be extended.  
    • Email Payroll to close inactive jobs for any student currently not working.
    • Once jobs are closed for the Fiscal Year you will not be able to enter in late timesheets. Please reach out to the payroll department for further instructions.
